Privacy notice

This notice explains the public information website at kaizencertification.co.uk. Application and member services are provided separately through the Kaizen audit portal.

Who is responsible?

Kaizen Certification Ltd is the controller for personal information it processes through this website and enquiries to its team. Registered office: 42a Church Street, Hatfield, Hertfordshire, AL9 5AW. Company number 14468703.

For privacy matters, contact the Data Protection Officer through hello@kaizencertification.co.uk or call 0330 223 6278.

Information and purposes

  • Website requests: the hosting server processes technical information such as an IP address, request time, requested path and browser information to deliver and protect the site. The purpose is reliable operation and investigation of technical or security problems.
  • Enquiries: if you phone or email us, we use the contact details and information you provide to respond, manage the issue and keep appropriate records.
  • Applications and membership: the separate portal requests the evidence needed for accreditation. Read its application information and the published Data Protection Policy before submitting documents.

The public site has no account registration, payment collection or upload form, and does not make decisions about you by automated profiling.

Lawful basis

Website delivery, protection and routine enquiries are processed for our legitimate interests in providing and securing the service and responding to requests. Where an enquiry concerns entering or performing a membership contract, processing may be necessary for that contract. Legal obligations may require particular records or disclosures. Optional electronic marketing requires the appropriate permission and is separate from an accreditation application.

Cookies and external services

This static website sets no cookies, uses no analytics or advertising trackers, and serves its fonts and design assets locally. There is no tracking consent banner because no optional tracking is installed.

Links to GOV.UK, the registers, EASOB and the Kaizen audit portal take you to services with their own privacy and cookie arrangements. No information is sent to those services by this page until you choose to visit a link.

Member directory

Where member directory entries are published, they contain the assessor’s name, membership number, optional business and service area, and accreditation strands, statuses and verification dates. These entries are publicly accessible and may be indexed by search engines. Internal membership notes and unpublished records are not part of this website.

Directory searches run in your browser; search terms are not sent to our server. To request a correction or discuss the publication of your details, contact the Data Protection Officer using the details above. Current accreditation should also be checked through the official register or with Kaizen.

Recipients and retention

Hosting and communications providers process information as needed to deliver their services. Relevant records may be shared with authorised staff, advisers, insurers, regulators or the register operator where there is a lawful and necessary reason. We do not sell enquiry data.

Technical logs are retained for the limited period configured for server operation and security. Enquiry records are kept while needed to respond and for relevant contractual, legal or regulatory purposes; retention is reviewed against the nature of the matter and any unresolved dispute. Assessment and audit evidence follow the separate published retention policy. Contact us for the applicable period or details of providers and any international-transfer safeguards.

Your rights

Depending on the legal basis and circumstances, you may request access, correction, erasure, restriction or portability of your information. Where processing relies on consent, you can withdraw that consent. Some information must be kept to meet legal or regulatory obligations, so rights are not absolute.

Your right to object: you can object to processing based on legitimate interests and to use of your information for direct marketing. Contact us using the details above.

You can complain to the Information Commissioner’s Office if you are unhappy with how your information is handled.
